Tax note: fees you earn for performing notarial acts are exempt from federal self-employment tax, but they are still subject to regular income tax. Travel, package, and other business income doesn't get that exemption — track miles and keep the categories separate, like this log does.

🧮 Quote calculator

Price an appointment before you drive. Your state caps only the notarial act itself — travel, printing, and package fees are yours to set, but they must be agreed with the client beforehand and shown as separate lines, never folded into the act fee.

📘 Your state rules

The rules that decide what you can charge, what you must write down, and when you have to refuse — for your state.

Fee schedule — statutory maximums

These are ceilings, not prices you must charge — charging less or notarizing free is always allowed. Charging more than the maximum can bring penalties and suspension or revocation of your commission.

📖 How to use this app

Start here

What the tracker does for you, and how to work it day to day.

Why notaries use it

• Never overcharge by accident — your state's maximum fee for every act is built in. Fees come prefilled at the cap, and an entry over the cap can't be saved.

• Price any job in seconds — loan signings, jail and hospital signings, estate planning, field inspections, fingerprinting, RON sessions. Enter the assignment fee and travel, get the total.

• Know your numbers — gross booked, collected, still owed, and net after expenses, with a mileage log ready for tax time.

• Your record book, handled — every entry can carry the journal details your state expects: document, how the signer was identified, and their address.

• Private and offline — everything lives on your device. No account, no sign-up, no internet needed, nothing uploaded anywhere.

How to use it — the daily flow

1. Your state is already set from the first screen. Moving or working across state lines? Change it anytime in My State — fee caps and rules switch with you, and old entries keep the state they were logged under.

2. Log every appointment on Track, right after you finish it. Pick the Service, check the fee (prefilled at your state max — lower it if you charged less), add travel and miles, mark it Paid or Pending, and fill in the journal details while they're fresh.

3. Quote before you commit. The Quote tab prices a job at your state's legal maximums — acts, travel, mileage, extras — so the number you give a client is a number you can stand behind.

4. Check My State when you're unsure — your full fee schedule, journal rules, RON rules, and commission details, all in one panel.

5. Log stray drives, and back up weekly, in Reports. The mileage log there catches drives that weren't appointments — no-shows, supply runs — and turns all your miles into a deduction estimate at the IRS rate. Download the CSV weekly — that's your backup copy and your tax file in one.

Picking the right Service

• Acknowledgment, Jurat, Oath / affirmation, Signature witnessing, Copy certification — single notarial acts, priced at your state's cap per signature, act, or page.

• General mobile appointment — a standard trip to a signer, priced at your state's acknowledgment rate.

• Loan signing package, Jail / detention, Hospital / nursing home, Estate planning, Field inspection, Ink fingerprinting — assignment work. Enter the flat fee you were paid; these fees are negotiated, not state-capped.

• RON session — remote online work. It only appears where your state authorizes RON, and your state's RON fee is shown as the reference.

• Other (describe it) — anything else: funeral home signings, dealership paperwork, school forms. Type what the job was and the entry saves under your own words.

📲 Get this app on your phone or desktop

This tracker is one file — download it once, put it on your home screen or desktop, and it opens anytime, no internet needed.

iPhone / iPad: open the file in Safari, tap Share, then Add to Home Screen → Add. The tracker icon lands on your home screen.

Android: open the file in Chrome, tap the ⋮ menu, then Add to Home screen (or Install app) → confirm.

Computer: open the file in Chrome, then the ⋮ menu → Save and share → Create shortcut — the shortcut lands on your desktop with the gold seal icon, and one click opens the tracker. (Dragging the file to the desktop also works, but that shortcut shows a plain web-page icon instead of the seal.)

Your icon: a gold notary seal on navy. Once added, it sits on your home screen or desktop like any other app — one tap opens the tracker, and everything you entered is still there.

Keep your books safe

Your entries save themselves. Every appointment, expense, and trip is written to storage on this device the moment you add it — close the app, restart the phone, come back next week, and everything is right where you left it. Nothing is ever deleted unless you choose Clear all entries in Reports and confirm it.

Switching phones? Entries live on the device, so they don't follow you on their own. In Reports, tap Download backup file on the old phone, then Restore from backup on the new one — your whole book moves with you, nothing re-typed.

Two things can still erase local data: clearing your browser's data, or losing the device. Keep the backup file and a weekly CSV somewhere safe, and your records will outlive any phone.
